  • Position Summary

    The postholder has responsibility for day to day accounting matters at the site and plays a key role in budget oversight. The postholder will hold responsibility for monitoring and reporting NYUL planning, processes and overall financial position so that resources are available and within budget, and will work closely with appropriate colleagues in London and New York to ensure smooth delivery. Application deadline 8th March, 2020.

     

    Principal Accountabilities

    Financial administrative support; 85%

    • Managing NYUL’s payroll, preparation of payment schedules for faculty, and communicating with HM Revenue & Customs
    • Assisting with the administration and reporting for the site’s pension schemes and benefits
    • Managing all accounting matters including writing cheques, logging expenditures, processing payments, reconciling accounts in liaison with NYU Global Accounting & Reporting, etc
    • Managing the issuing of invoices to internal and external parties and in particular within NYU Schools for staffing provision at the site
    • Act as main point of contact during the annual audit, providing requested information and liaising between colleagues in London and New York
    • Oversight of key elements in NYUL’s annual Operations budget, including but not limited to: utilities, telephones, office supplies, postage
    • Manage petty cash accounts and petty cash account reconciliations
    • Coordinate all Financial policies and procedures in accordance with UK legal compliance and NYU best practice
    • Communicate with vendors, service providers and contractors on financial matters on behalf of NYUL 
    • Coordinate with the Assistant Director for Finance & Operations and Associate Director Administration to ensure regular oversight of annual budget
    • Utilise the NYU financial reporting systems
    • Communicate with bank regarding online banking, carrying out online banking functions including payments and wire transfers
    • Accounting for staff visits overseas
    • Preparation of quarterly variance analysis
    • Assisting with preparation of year end accounts 
    • Assisting with preparation of the annual budget request
    • Accounting for and organising reports of one-off expenses and visiting programmes incurred at site outside of operational budget; liaise with colleagues in London and New York responsible for the organising of visiting groups
    • Contribute to the development and improvement of financial processes and systems by raising issues and exploring opportunities

    Operational; 15%

    • Supervise the Finance & Operations Administrator
    • Attend regular meetings as necessary
    • Manage and negotiate the site’s contracts for utilities, mobile and landline telephone services  
    • Assist with the organisation of on-site functions, orders and meetings as required
    • Provide executive support to the Associate Director Administration as requested
    • Contribute to the strategic development of NYUL
    • Other duties as assigned by the Assistant Director for Finance & Operations, or required by the Director of NYUL, for the successful and efficient running of NYUL

    Qualifications

    Required Education

    • Educated to degree level or equivalent in an appropriate discipline e.g. Accountancy, Financial Operations, Business Administration 
    • CIMA or AAT qualified or part qualified

     

    Preferred Education

    • Postgraduate qualification in financial/business administration or accounting

     

    Required Experience

    • Experience of working in a fast-paced office environment

     

    Preferred Experience, Skills and Abilities

    • Knowledge of accounting software such as Oracle
    • Experience of working within Higher Education
    • Experience of payroll management 
    • Experience of working in international education
