The position of Program Administrator, Student Life is a full-time position at NYU Berlin’s Academic Center located in the Kulturbrauerei in Prenzlauer Berg, Berlin. The Program Administrator, Student Life works directly with the Program Manager, Student Life, and the Coordinator of Student Services at NYU Berlin to provide administrative support for a wide range of services in the areas of student programming, communication, student conduct, immigration advising, registration with the German authorities, residential life services, safety and wellness, emergency response, as well as a number of immersive community projects. This is a 2-year fixed term role.

 

General Administrative Support – Student Services (60%):

  • Provide comprehensive administrative support to the Program Manager, Student Life and other staff.
  • Utilize NYU’s housing management system to execute assignments, manage room changes, and record any additional charges for loss or damage.
  • Advise student leaders and oversee local volunteering initiatives to foster community engagement.
  • Act as a primary resource for students navigating the German healthcare system, coordinating appointments with local medical providers and advising on insurance coverage.
  • Document incidents within the student community, such as student conduct cases, and facilitate conflict resolution opportunities.
  • Other tasks as assigned by the Program Manager, Student Life and the Coordinator of Student Services

Support of Extracurricular Programming (15%):

  • Assist in the planning and organization of immersive student programming, including orientation, on-campus workshops and seminars, excursions in the city, as well as trips.
  • Accompany students on day- and weekend-trips (2-4 trips a semester).

Student Safety & Wellness (15):

  • Participate in the on-duty/on-call rotational emergency response and be available to respond to crises during scheduled evenings, weekends, and public holidays.
  • Know University/community resources and make appropriate referrals.
  • Participate in Wellness training seminars and diversity workshops.
  • Assist in the creation of manuals covering safety-related information and general travel advisories.

Communication (10%):

  • Ensure effective communication to students on all matters related to student services.
  • Assist in the production of material for the weekly Student Newsletter.
  • Produce and regularly update the NYU Berlin internal resource page.

Qualifications

Required Education

  • Successful completion of a university degree.

Required Experience

  • 2-3 years work experience, incl. internships and student worker positions.

Required Knowledge, Skills, and Abilities

  • Fluency in German and English.
  • Excellent intercultural and interpersonal communication skills.
  • Service excellence and delivery of high-quality solutions.
  • Strong ability to engage meaningfully and inclusively with members of a diverse student community.
  • Exceptional time-management and organizational skills.
  • Demonstrated ability to prioritize, multitask, and handle emergencies.
  • Confident public speaking skills.
  • High level of flexibility and attention to detail.
  • Strong sense of teamwork as well as the ability to work independently.
  • Ability to work on a few Saturdays per year.
  • Familiarity with Microsoft Windows, Microsoft Office, and Google Workspace.

Required Work permit

  • A valid work permit for Germany valid through August 2028.

Preferred Knowledge, Skills, and Abilities

  • Previous experience living, working, or studying abroad (preferably within the context of U.S. universities).
  • Genuine interest in getting to know and support a very diverse set of international students every semester.
  • Experience in producing and editing texts in English (such as handbooks, newsletters, etc.).
  • Familiarity with IT and social media.
  • Ability to organize and deliver events and trips for large groups.

Additional Information

Position available immediately. Shortlisted candidates will be asked to provide two recent references/Arbeitszeugnisse prior to their interview. Candidates must have the unrestricted right to work and live in Germany prior to appointment.
