Position Summary

This is a full-time position reporting to the Assistant Director of Human Resources. The HR Coordinator will provide comprehensive administrative and operational support to the Human Resources function and the wider NYU London community. The role is responsible for ensuring that HR processes run efficiently, supporting all stages of the employee lifecycle, and maintaining compliance with UK employment law and NYU policies.

The postholder will also contribute to employee engagement and wellness initiatives, collaborating closely with the HR team and other departments.

 

Principal Accountabilities : 

Human Resources administrative support: 45%

  • Provide day-to-day HR administrative support to the Assistant Director HR
  • Maintain accurate and up-to-date employee records and HR databases.
  • Ensure compliance with UK employment law, University standards, and NYU best practice.
  • In a timely manner, draft letters regarding end of employment and variation of contract. Ensuring letters have been issued to colleagues, signed, and saved to all colleague files.
  • Monitor probationary and performance review paperwork, chasing missing documentation where required.
  • Responding to queries that arrive in the HR Inbox
  • Track and monitor visa status and minor cases, escalating as necessary.
  • Prepare reference letters upon request.
  • Support the implementation and communication of HR policies, procedures, and organisational changes.
  • Liaise with Campus Safety, IT Services, and Facilities regarding employee ID cards, IT equipment, and office access.
  • Managing the NYU London LinkedIn
  • Highlight employees’ issues to the Assistant Director HR  where appropriate.
  • Taking notes during ER meetings or employee change meetings.

Recruitment and onboarding: 40%

 

  • Support all areas of recruitment, including drafting job descriptions, posting adverts, managing applications, and scheduling interviews.
  • Coordinate right-to-work checks, ensuring compliance with UK legislation.
  • Prepare contracts, licences to occupy, and other HR-related documentation.
  • Support employee onboarding and offboarding, including ID cards, NetIDs, IT access, benefit enrolments, and exit interviews.
  • Conduct orientation sessions to introduce new hires to NYU London’s culture, policies, and procedures.

 

Employee Engagement and Development: 10%

  • Contribute to NYU London’s employee engagement, wellness, and recognition programmes.
  • Help organise training sessions, workshops, and other employee development activities.
  • Coordinate HR training for new managers and deliver basic HR training for new joiners.

Other Duties: 5%

  • Provide administrative support for probation completions, failures, or extensions
  • Support any new initiatives or organisational changes affecting HR processes.
  • Monitor stock levels and order office supplies, ensuring resources are available for staff when needed.
  • Keep our office environment organised and pleasant.
  • Liaise with suppliers and vendors for ad-hoc requests.
  • Support the setup of meetings, events, and office activities.
  • Undertake other duties as assigned by the Assistant Director HR, Deputy Director or Site Director.

 

Qualifications

Required Education

  • CIPD/working towards relevant HR qualification or qualified by experience

 

Required Experience 

  •  At least 1-3 years of relevant work experience as an HR role
  •  Excellent communication and customer service skills
  •  Detail-oriented with a focus on accuracy in data entry
  •  Ability to work collaboratively in a fast-paced environment
  •  Motivated and a positive approach to HR

 

Required Knowledge, Skills, and Abilities 

  • A demonstrated commitment to promoting a diverse and welcoming environment, as evidenced by prior successful and innovative measures 
  • High attention to detail and the capability to manage a high volume of work while maintaining exceptional standards
  • Strong organisational ability; proven experience of completing tasks to high levels of accuracy and timeliness, with attention to detail and a methodical approach
  • Excellent interpersonal and written communication skills; the ability to converse with a diverse range of people at all levels; an enthusiastic team player  
  • Positive and proactive attitude to an often demanding workload
  • Proven ability to manage own workload and to work flexibly in response to changing demands and priorities; able to cope under pressure
  • Punctual, responsible, self-motivated and flexible

 

Preferred Experience, Skills and Abilities

  • Experience of HR work including the handling of sensitive data
  • Experience of event or conference organization and oversight 
  • Experience of working in a fast-paced office environment

Additional Information

Candidates must have the unrestricted right to work and live in the UK prior to appointment.
